Terms of Service
In short. The app is a tool for running a school. The School owns its records and is responsible for what it enters and who it gives access to. Every school starts with a 30-day free trial. Please use the app honestly and keep your login private.
1. About these terms
These terms apply when you use School Pro Ultimate, provided by NEXLITE Digital Solutions Limited, a company in Zambia ("we", "us"). By signing in or using the app you agree to them. If you do not agree, please do not use the app. How we handle personal information is explained in the Privacy Policy.
2. Who can use the app
Accounts are for staff and parents of a school that uses the app. A school's Administrator creates or approves accounts and gives each person a role. You must be 18 or older, or have a parent or guardian's permission, to hold an account. Learners do not have accounts.
3. Your account
- Keep your login and any PIN private. You are responsible for what is done with your account.
- Tell the School at once if you think someone else has used it.
- Sign out on shared phones and computers.
- If you forget your password, use "Forgot password?" on the login screen. We send a reset link to the email address on the account, and it works for about one hour. Do not share the link. If you did not ask for a reset, ignore the email and your password stays the same.
- We will never ask you for your password or PIN by email, phone or WhatsApp.
4. The School's responsibilities
The School owns the records it enters. The School is responsible for:
- having the right to record information about learners and staff, including any consent from parents or guardians that the law requires;
- giving each person the correct role, and removing access when someone leaves;
- checking that results, fees, payroll, timetables and other records are correct before relying on them or sharing them;
- keeping safe any backup or export file it downloads from the app, since these contain learner and fee information.
Fees that parents pay to the School are a matter between the parent and the School. We do not collect them. The app only records what is submitted, and the School confirms it.
5. Access and fees
Every new school gets a 30-day free trial with full access. After that, access continues on a paid plan, billed monthly or annually. The current plans, prices and student limits are shown in the app under Subscription and on our website. We may change prices; a change applies from the next renewal and we will tell Schools before it does.
The School pays by Airtel Money or MTN Mobile Money to the number shown in the app, then submits the transaction ID and chosen plan in the app. We check the payment and activate the plan. Fees already paid are not refundable unless the law requires it or we agree otherwise in writing.
When a trial or subscription ends, the School's account becomes read-only: records can still be viewed and exported, but not changed. If the School does not renew, it can export its data for 90 days after access ends, after which we may delete it.
6. Acceptable use
You agree not to:
- look at, change or share records you have not been given access to;
- enter false, abusive or unlawful content;
- upload viruses or files you have no right to share;
- try to break into, overload or copy the app, or bypass its permissions;
- use learner or staff information for anything other than the School's purposes.
7. Your content
You and the School keep ownership of what you enter. You give us permission to store, process and display it only as needed to run the app for the School. We do not claim ownership of it.
8. Reports, payslips and timetables
The app can create reports, payslips and timetable PDFs from the records entered. They are only as accurate as those records. The School should check each one before it is printed, shared or acted on.
9. Availability and updates
We try to keep the app available, but it depends on internet connections and services run by others, so it may sometimes be slow or unavailable. The app can work offline for some features, and changes made offline are saved when you reconnect. We update the app from time to time, and installed copies update themselves.
Emails from us. When a School signs up we send a welcome email to the address used to sign up. We also send password reset emails when you ask for one, and occasional service updates about the app. These come from support@nexlitedigitalsolutionslimited.digital. You can reply to that address for help, or to stop receiving service updates. Please keep the email address on your account correct and check your Spam or Junk folder if an email does not arrive. Emails depend on services run by others, so we cannot guarantee they will arrive.
10. No guarantees; limits on our liability
The app is provided "as is". To the extent the law allows, we are not liable for indirect or consequential loss, or for loss caused by incorrect data entered by users, lost or shared devices, or events outside our control. Nothing in these terms limits any right or liability that the law does not allow to be limited.
11. Suspension and ending
We may suspend or close an account that breaks these terms or puts other users or data at risk. A School may stop using the app at any time. Sections that by their nature should continue (such as ownership of content and liability) continue after use ends.
12. Changes and governing law
We may update these terms. When we do, we will change the date above and tell Schools through the app or by email. Using the app after a change means you accept it. These terms are governed by the laws of Zambia, and disputes will be handled by its courts, unless the law says otherwise.
