What is Pool?
Pool helps a cooperative track everyone's produce, sell it together, and split the proceeds fairly — plus manage advances, mobile money payouts, and shared community projects.
There are two kinds of accounts: Admin (usually the treasurer or secretary — can add records) and Member (read-only view of their own and the coop's records).
Getting started
Setting up a coop (admin): Use "Set up your coop" on the landing screen, give it a name, and create your admin sign-in.
Joining as a member: Your admin adds you under Members, then shares a one-time invite link with you. Open it and set up your own sign-in — it only works once.
Every account signs in with its own email and password, kept private to that person.
Members
Admins add members with a name, phone number, and village. Each member's page shows their total contributions, advances, and payout history.
From a member's page, an admin can generate an invite link so that member can sign in and see their own records.
Seasons & contributions
A season is one round of pooling a particular crop (e.g. "Maize — 2026 rainy season"). While it's open, admins log each member's contribution in kilograms and grade.
When the harvest is sold, the admin records the sale (buyer, price, any transport/handling cost) and finalizes it. Finalizing can't be undone — it calculates and locks in every member's share.
Payouts
After a sale is finalized, each member's share appears here as a payout, either due or paid.
An admin can mark a payout paid in cash, or log a mobile money transfer (network, phone, and the reference from the confirmation SMS) for a paper trail.
Marking a payout paid isn't final until the member confirms it — see "Approvals" below.
Advances
An advance is cash or farm inputs given ahead of the harvest, deducted later from that member's payout.
Either side can start one: an admin can give an advance, or a member can request one. Either way, it needs the other side's confirmation before it's recorded (see "Approvals").
Outstanding advances are automatically deducted from that member's next payout(s) until fully repaid.
Projects
A project is a coop-agreed initiative funded separately from harvest pooling — a grinder, storage shed, joint input order, etc. Members can see progress toward the funding target.
Admins record cash contributions toward a project, and mark it completed once the funds are used — completion also needs member confirmation.
Approvals (duo sign-off)
Every movement of funds — a payout, an advance, or a project payout — needs agreement from both sides: whoever didn't start it has to confirm it before anything actually moves.
Open the Approvals tab (the checkmark icon at the top) to see what's waiting on you, what you've sent that's still waiting on the other side, and recent decisions. You can also cancel a request you started, as long as no one has acted on it yet.
Transaction PIN
Confirming any funds movement — finalizing a sale, or approving a payout, advance, or project completion — asks for your transaction PIN, a short PIN separate from your sign-in password.
Set or change it any time from Settings. The first time you confirm a transaction without one set, you'll be asked to choose one on the spot.
Keep it private, and don't share it with anyone — including other members of your coop.
The coop assistant
Tap the chat button to ask questions about your coop's own records — outstanding payouts, unsold seasons, project progress — or get a plain-language summary. It only answers from your coop's data.
Troubleshooting
Forgot your password? Use the reset link on the sign-in screen.
Forgot your transaction PIN? There's currently no self-service reset — contact whoever manages this Pool for your coop.
Offline banner showing? Your changes are saved once your phone reconnects — nothing is lost, but wait for a connection before assuming a record went through.
Invite link not working? Each link works once. Ask your admin to generate a fresh one.
Approvals
Every payout, advance, and project withdrawal needs sign-off from both sides — whoever didn't start it has to confirm it before the funds actually move.
